• Business/promotion name and role (for promoters)
• Gym or club affiliation (for boxers submitting walkout music)

• Photographs relating to event setup and delivery
• Emergency contact details (for crew members, provided voluntarily for safety purposes)

How We Use Your Information

We use the information we collect to:

• Plan, prepare for, and deliver the events we are booked for
• Coordinate crew and production logistics
• Communicate with promoters, boxers, and crew about event details
• Confirm bookings and manage event records
• Respond to queries or requests you send us

Where information is provided directly in connection with an event we have been booked for, our lawful basis for processing is that it is necessary to deliver that event (performance of a contract, or our legitimate interest in delivering the service you have engaged us for).

How Long We Keep Your Information

We do not keep personal information for longer than necessary. In general:

• Detailed event information (submitted times, contact details, uploaded photos) is retained for 60 days after the event has taken place, after which it is deleted.
• A limited summary of past events (date, venue, promotion name, crew involved) is retained for our own business and accounting records.
• Venue information is retained indefinitely, as it may be relevant to future bookings at the same location.

Who We Share Information With

We use a small number of trusted third-party services to help us operate:

• Cloudinary — for secure storage of photographs
• Discord — for internal team notifications
• Our email service provider — for sending confirmation and notification emails

We do not sell or share your personal information with third parties for marketing purposes.

Your Rights

Under UK GDPR, you have the right to:

• Ask us what personal information we hold about you
• Ask us to correct inaccurate information
• Ask us to delete your information, where we are not required to keep it for a legitimate business reason
